How to Write Payment Terms That Get You Paid Faster

SGSG·Oct 29, 2026·4 min read

Late payment is one of the biggest problems for freelancers and small businesses. Often the issue is not a dishonest client, but an invoice that never said clearly when and how to pay. This guide explains the common payment terms, how to set late fees and early-payment discounts, and gives you a calculator and a ready-to-use clause.

What are payment terms?

Payment terms are the conditions on your invoice that say when payment is due, how it should be made and what happens if it is late. Clear terms remove excuses and make follow-ups easy, because you can point to what the client already agreed.

The most common payment terms compared

TermWhat it meansBest forCash-flow risk
Due on receiptPay as soon as the invoice arrivesSmall jobs, new clients, retailLow
50% advance, 50% on deliveryHalf before work starts, half at the endProjects, design, developmentLow
Milestone-basedPayment at agreed stages of the workLong or large projectsLow
Net 7 / Net 15Pay within 7 or 15 days of the invoice dateRegular clients, retainersMedium
Net 30Pay within 30 days of the invoice dateLarger companiesMedium
Net 45 / Net 60Pay within 45 or 60 daysBig corporate clients that insistHigh

A good rule: the shorter the term, the sooner the money arrives. For new clients, ask for an advance. Give longer terms only to clients who have paid on time before.

Try the calculator: late fees and early-payment discounts

Enter your invoice details to see what a late fee adds, and whether an early-payment discount is worth offering.

Late fees: how to set them fairly

📝

State it upfront

A late fee only works if it is on the quote or invoice before the work starts.

⚖️

Keep it reasonable

A monthly percentage such as 1% to 2% is common. Extreme penalties are hard to enforce.

🤝

Apply it sensibly

You can waive it for a good client to keep goodwill, but only after showing it was there.

Early-payment discounts: is it worth it?

A typical offer is "2/10 net 30", meaning a 2% discount if paid within 10 days, otherwise the full amount in 30 days. The calculator above shows the yearly cost of that discount. It is often much higher than a bank loan rate, so offer it only when you really need the cash sooner.

Copy-ready payment terms clause

Edit the numbers, then paste this at the bottom of your invoice or quote.

Payment terms: 50% advance is payable before work begins and the balance within 15 days of the invoice date. Late payments will attract a charge of 1.5% per month on the overdue amount. Payment can be made by UPI, bank transfer or cheque, as detailed on this invoice. Work may be paused on accounts that are overdue.

7 habits that get you paid faster

  • Invoice immediately. The day you deliver, not at month-end.
  • Make the invoice clear. Include number, due date, amount and payment details. See what to include in an invoice.
  • Offer easy payment. UPI, bank transfer and a QR code remove friction.
  • Ask for an advance on new clients and large projects.
  • Send a reminder before the due date, not only after it.
  • Follow up politely and in writing, so there is a record.
  • Pause work on overdue accounts if your terms say you can.
Dealing with micro and small suppliers? In India, the MSMED Act sets time limits for buyers to pay registered micro and small enterprises (generally within the agreed time, and not beyond 45 days), and tax rules can disallow the deduction if payment is late. If you are a registered MSME, Udyam registration can help you use these protections. Check the current rules or ask your accountant.

Frequently asked questions

What is the best payment term for a freelancer?

For new clients, ask for 30% to 50% in advance and the balance on delivery or within 7 to 15 days. Longer terms suit clients who already pay on time.

Can I charge interest on late payments?

You can if it is agreed in writing before the work starts, for example on your quote or invoice. Keep the rate reasonable.

What should I do if a client does not pay?

Send a polite written reminder, then a firmer one that cites your terms. If it continues, send a formal legal notice through a professional.

Does Net 30 start from the invoice date or the delivery date?

State it clearly on the invoice. Most businesses count from the invoice date, so send the invoice on time.
