What to Include in an Invoice (India): Checklist, Sample & Common Mistakes

A missing detail on an invoice can mean delayed payments, rejected expense claims and awkward questions at tax time. This guide lists exactly what to put on an invoice, shows a sample layout, and helps you check your own with an interactive checklist.
The essential parts of an invoice
Whatever your business, a clear invoice answers four questions: who is billing, who is being billed, what for, and how much. Here is the full list.
| Field | Why it matters | Needed? |
|---|---|---|
| Word "Invoice" / "Tax Invoice" | Makes the document's purpose clear. Use "Tax Invoice" if you charge GST. | Always |
| Unique invoice number | Lets both sides track and reconcile. Keep it sequential. | Always |
| Invoice date and due date | Sets when payment is expected. | Always |
| Your name, address, contact | Identifies the seller. | Always |
| Client name and address | Identifies the buyer. | Always |
| Description, quantity, rate | Shows what is being charged and how it adds up. | Always |
| Your GSTIN | Required when you are GST-registered. | If registered |
| HSN / SAC code | Classifies goods or services for GST. | If applicable |
| Tax rate and amount | Shows CGST + SGST or IGST separately. | If registered |
| Client GSTIN | Lets a business client claim input credit. | For B2B |
| Logo, bank details, notes | Looks professional and speeds up payment. | Recommended |

Common invoice mistakes to avoid
Duplicate or missing numbers. Gaps and repeats confuse accounting and audits. Number invoices in order.
No due date. Without one, clients pay when they get around to it. State the date or terms such as "Net 15".
Wrong tax split. Use CGST + SGST for in-state sales and IGST for inter-state sales.
Vague descriptions. "Services" invites disputes. Say what was delivered.
Hand-calculated totals. One slip in a spreadsheet formula changes the total. Let a tool do the maths.
